(Temporary) Secretary to the Board of Examiners

• Our goal: The Board of Examiners plays a key role in safeguarding the quality of assessment, examination procedures, and decision-making within the educational programmes of the Faculty of Science and Engineering. In this temporary role, you will contribute to the effective functioning of the Board by providing professional administrative, procedural, and policy-related support.
• Your colleagues: You will work closely with the Chair, other secretary and members of the Board of Examiners, You will be part of a professional and collaborative environment in which accuracy, discretion, and reliability are essential.

As Secretary to the Board of Examiners, you will support the preparation, organisation, and follow-up of meetings, decisions and procedures. Your work will help ensure that the Board can fulfil its statutory and advisory responsibilities in a transparent, consistent, and well-documented way.

What you do

As Secretary to the Board of Examiners, you will support several educational programmes based in Heerlen and Venlo.

• Support policy development and decision-making by gathering, compiling, and editing relevant information at the request of the Chair.
• Prepare meeting documents, decision notes, minutes, and other written materials required for the Board’s activities.
• Implement approved changes to procedures, guidelines, or working methods.
• Monitor and promote compliance with established procedures, decisions, and agreements.
• Provide accurate information about the Board of Examiners, its role, procedures, and activities to internal and external stakeholders.
• Act as a reliable point of contact for questions related to the work of the Board.
• Ensure careful documentation, archiving, and follow-up of decisions and actions.

• Procedural awareness: you understand the importance of rules, regulations, confidentiality, and consistency in an academic setting.
• Strong interpersonal skills: you communicate professionally with a wide range of stakeholders and know how to handle sensitive matters with discretion.

• A 12-month contract (0,6 fte) with the prospect of an extension.
• A gross monthly salary between €3537,00and €4673,00 (based on full-time employment of 38 hours per week). 8% holiday allowance and an 8.3% year-end bonus.
• 29 vacation days (based on full-time), four additional days off (Carnival Monday and Tuesday, Good Friday, and Liberation Day), and the possibility to accrue up to 12 extra days through compensation hours.
