The function
As a Management Assistant, you will play a key role in supporting two board members with daily operations, coordination, and administrative tasks. You are the go-to person for scheduling, logistics, communication across departments, and ensuring that everything behind the scenes runs smoothly. Your ability to manage priorities, adapt quickly, and maintain confidentiality is crucial to the success of the leadership team.
In this role you will support our two Board Members who are responsible for the the areas of Operations and Finance.
Tasks and Responsibilities
- Proactively manage and coordinate calendars for the board members, anticipating scheduling needs and resolving conflicts.
- Rearrange appointments and meetings efficiently to accommodate last-minute changes or urgent matters.
- Organize and facilitate meetings across multiple time zones, ensuring availability of participants and meeting rooms.
- Prepare accurate and comprehensive minutes for various meetings of the Board Member.
- Deal with all correspondence.
- Assist the Board Members in specific initiatives (ad hoc & ongoing projects) on request or proactively. Where necessary conduct research, suggest solutions and available options.
- Act as a central liaison between departments and senior leadership, ensuring seamless communication and follow-up on action items.
- Arrange domestic and international travel, including flights, hotels, transportation, etc.
- Coordinate off-site meetings, events, team workshops, and dinner arrangements, including catering and logistics.
- Prepare for guest visits by arranging visitor badges, Wi-Fi access, meeting room bookings, etc.
- Claim board member’s expenses and support budget-related administrative tasks.
- Place purchase requests and follow-up on approval and deliveries.
- Keep track of new joiners, leavers, and employee anniversaries.
- Help managers maintain and update mailing/distribution lists.
- Support onboarding and offboarding processes, including IT account setup and deletion, as well as requesting necessary equipment and tools.
- Organize gifts and flower orders for employees for special occasions.
Requirements

- Strong communication and interpersonal skills; professional demeanor and discretion are essential.
- Proficient with digital tools and systems, Microsoft Office Suite, and travel booking platforms.
- Proactive mindset with the ability to anticipate needs and solve problems independently.
- Fluent in English; additional language skills are a plus.

- The salary range for a full-time position (40 hours) is between €2900,- and €4000,- gross per month depending on experience
